We are assisting our client, based in the Canton of Basel, in finding a highly engaged assistant for a newly created role. You will be at the heart of business operations, providing top-notch assistance to the Executive Committee (EC). The position offers flexibility, allowing you to work from home one to two days a week, while also requiring you to use good judgment about when to be in the office. The offices are located just a 15-minute train ride from Basel’s central station.

About the position
Your mission is to provide business support to the EC and help the team function at its best. You will communicate confidently and warmly with everyone, from investors and external stakeholders to the board, ensuring interactions are clear and respectful. You bring a collegial spirit, enjoy keeping many tasks moving at once, and take pride in making life easier for others. There’s no need to worry about being overwhelmed; the workload is manageable when you apply your energy, stay composed, pick things up quickly, and handle daily tasks effectively. You will also step in to assist the CEO’s EA when needed, with a direct reporting line. Building a stable and dependable support structure is crucial, and this is where you can make a real difference. You will operate side by side in trust, sharing ideas, catching what others might miss, and knowing you can rely completely on one another. Key responsibilities include, but are not limited to:

  • Manage complex calendars to ensure effective prioritization and alignment with business needs, including scheduling, travel, correspondence, and meeting logistics.
  • Coordinate and prepare briefing materials, presentations, and reports for internal and external meetings.
  • Track and follow up on action items to ensure the timely execution of strategic initiatives.
  • Contribute to project coordination and process improvements, while remaining flexible to take on ad hoc tasks. Organize Executive Committee meetings and leadership off-sites, including agenda development, minute-taking, and distribution of materials.
  • Serve as a liaison between the EC/Leadership Team and internal/external stakeholders, ensuring smooth communication and follow-ups.
  • Draft and edit correspondence and presentations with precision and professionalism.
  • Coordinate cross-functional projects and initiatives driven by the EC.
  • Conduct research, compile data, and prepare executive-level summaries to facilitate decision-making.
  • Assist in maintaining compliance with corporate governance requirements.
  • Uphold strict confidentiality regarding all business matters and sensitive information.
  • Maintain digitally organized files and records to enable efficient operations.
  • Continuously seek ways to improve efficiency in administrative processes.


About You

  • Vocational training in business administration, ideally paired with a degree in executive assistance, a diploma in hotel management, or a related field, is preferred.
  • Minimum of 7+ years’ experience as an assistant supporting senior leadership in the pharmaceutical, healthcare, or life sciences industry.
  • Fluent in written and spoken English (prerequisite) and German (preferred).
  • Proficient user of MS Office Suite and productivity platforms, e.g., Zoom, Teams, and SharePoint.
  • You are extremely well-organized and structured, with strong stakeholder communication skills.
  •  You bring high EQ and a quick grasp: you read people well, understand assignments quickly, and complete them largely without supervision.
  • You are friendly, approachable, and professional, with high integrity and a strong sense of confidentiality.
  • You build rapport quickly, see the big picture, and play a vital role in fostering a spirit of joint effort.
