    Our client is a Biologics Manufacturing Organization, with headquarters based in Basel. The company uses innovative, next generation bioprocessing technologies in order to bring life-saving drugs effectively to the market. In order to support the office team, we are looking for a

    Receptionist / Office Manager 80 – 100% (Ref. 2540) - Basel

    As a member of the Office team, you will play a crucial role in overseeing all front desk activities, ensuring timely and accurate service to both internal and external customers. This position reports directly to the CEO’s Executive Assistant.

    Your main tasks

    • Manage and execute all day-to-day operations of the front desk, including: 
      • Greeting and assisting visitors and vendors, including registration and pickup from the main gate
      • Answering incoming calls and monitoring the company’s general mailbox, forwarding messages as necessary, and serving as a liaison between different departments
      • Managing incoming and outgoing mail, including pickup, review, distribution, and delivery to the post office
      • Maintaining front desk supplies and office materials
      • Overseeing meeting rooms and shared spaces (e.g., kitchen), including booking, ensuring cleanliness and order, and managing equipment within budget
      • Coordinating catering services for meetings and events, including ordering, setup, and ensuring proper service
      • Supervising the company’s parking space allocation and usage
    • Assisting in corporate travel bookings (flights, train tickets, accommodations, etc.)
    • Managing the “Handkasse” (cash fund) and front desk corporate credit card, ensuring accurate expense tracking
    • Supporting internal events for employees in collaboration with the CEO Assistant, ensuring proper budget planning, logistics, and communication

    Your profile

    • 3-5 years of professional experience in a similar role
    • Customer service orientation
    • Excellent verbal and written communication skills
    • Strong interpersonal skills, particularly in collaboration and relationship-building
    • Solution-oriented mindset with strong problem-solving and analytical skills and a keen eye for detail
    • Ability to work independently, demonstrating strong self-organization to meet deadlines and manage tasks efficiently
    • Experience in a well-aligned, collaborative team environment where responsibilities are shared equally
    • Willingness to learn and take on new responsibilities in a dynamic, fast-paced environment
    • Proficiency in MS Office
    • Fluency in English and German is essential; additional languages are a plus
